SmartGroup (& list) Actions

MioWorks SmartGroups give you a very powerful way to keep track of clients, vendors and employees.  By using SmartGroups you can organize live “sets” or “collections” of people.  With SmartGroup actions you can also perform an action on an entire group all at once.  The SmartGroup actions can be found by clicking on the “CONTACT” tab, then clicking on the “Manage Lists & Groups” button. (Please note that this set of actions is identical for MioWorks Lists)

Once the SmartGroup management panel is visible, you should click on the appropriate SmartGroup that you would like to work with.  The members of the SmartGroup will appear in the right side column.  You may now perform an action on ALL of the members of the smart group.

The actions that you can perform on the entire SmartGroup include:

1 – Export to CSV – this action will create a CSV (comma separated value) export file from your SmartGroup.  This allows you to use your contact information to execute Marketing campaigns.  This CSV file can be sent to your direct mail service provider or it can be uploaded into email marketing solutions like Constant Contact or MailChimp.

2 – Add keywords – this action allows you to apply a new keyword/tag to all of the group members.  This is a one time only action and will not be applied to new members of the group.

3 – Activate Portal – this action will activate the portal for all SmartGroup members that have an email address in their contact records.  Contacts without an email address will be ignored.  Once you activate the portal for the SmartGroup, each contact with an email address will receive a notification with their log on credentials for the customer portal.  This is a one time only action and will not be applied to new members of the group.

4 – Add Task - this action allows you to add a task to all of the members of the SmartGroup.  This is useful when you would like to schedule a followup task across the entire group.  This is a one time only action and will not be applied to new members of the group.

5 – Change contact type – this action allows you to change the contact type for the entire SmartGroup. For example you can convert prospects into customers.  This is a one time only action and will not be applied to new members of the group.

6 – Delete - this action allows you to delete all of the contacts associated with this SmartGroup.  WARNING – this action will completely delete all contact records and their associated information including notes, issues, files and tasks.  There is no “un-do” of this function.
